Printing documents

Print PDFs / DOCX you uploaded, or print through printers others shared with you

The PrintHub printing flow is the same three steps every time: pick a document → pick a printer → configure options. Documents come from "My documents" or the public document pool. Printers come from "My printers" or from printers others have shared with you.

1. Entry points

There are three main entry points:

  • Home → Quick actions → Print document: takes you to /print, the three-step wizard.
  • Document detail page: each document has a "Print" button at the top right; clicking it opens the wizard with the document pre-selected.
  • My printers: each row has a print icon that opens the wizard with the printer pre-selected.

All three converge on the same wizard. The rest of this guide walks through each step.

2. Printing a document you uploaded

The "My documents" page lists every PDF / DOCX you uploaded via /document/batch_upload.

  1. Open /print; in step 1 "Select document" use the search box to filter by title or description.
  2. Click the document you want (only one at a time), then click "Next".
  3. In step 2 "Select printer" pick an online printer from "My printers".
  4. In step 3 "Configure settings" adjust copies, color, duplex, paper size, and orientation as needed.
  5. Click "Print now" to submit. A toast confirms the job, and you can follow progress on /record/print.

If the list is empty, go to /documents and upload a PDF or DOCX first. The uploader supports drag-and-drop, batch selection, and visibility (public / private).

3. Printing to a printer others shared with you

When another user adds you to a printer's whitelist (see the "Sharing your printer" guide), the printer appears in your "My printers" list alongside your own. The owner nickname is shown in the owner field so you can tell them apart.

  1. Find the row whose owner is not you in the "My printers" list.
  2. Click the print icon for that row to open the wizard with the printer pre-selected.
  3. Pick a document and configure options as usual. The only visible difference is the owner field showing the sharer's nickname.
  4. After submission, the job still belongs to you; you can track, cancel or re-submit it from "My print history".

If a printer that used to be visible is no longer there, the owner either revoked your access or deleted the printer. Ask them to re-add you if needed.

4. Print options

The option fields in step 3 are dynamically filtered by the printer's actual capabilities. The capabilities come from the IPP attributes reported by printer-agent at registration time.

  • Copies: integer 1-99, clamped to the printer's supported range.
  • Color: color / grayscale. Grayscale-only printers disable the color option automatically.
  • Duplex: one-sided / two-sided long edge / two-sided short edge. Not supported on most low-end printers.
  • Paper size: A4 / A5 / A6 / B5 / Letter.
  • Orientation: portrait / landscape; controls the page rotation at print time.

If an option does not take effect, the agent's reported capabilities and the physical printer disagree. Check the capability snapshot in "My printers".

5. Print history

The /record/print page lists every print job you submitted, newest first.

  • State machine: pending → pushed → printing → done / error / locked.
  • pending: job created, waiting for the agent to pull it.
  • pushed: agent has pulled it, not yet printing.
  • printing: agent is delivering via IPP.
  • done / error: success or failure. Click "Reprint" to re-submit with the same options.
  • locked: typically because the owner revoked the share or deleted the printer.

For the most recent live progress, call /task/{id}?include=snapshot. The response includes the latest agent-reported snapshot (state, started_at, updated_at).

6. FAQ

If the print flow does not behave as expected, check here first.

Q: My job stays on "pending" forever.
A: The agent is offline. Check the host's network reachability to printhub-host, and that the agent's token has not been rotated.
Q: The printer list is empty.
A: Register a printer first under "My printers" (see the printer-agent deployment guide). If only your own printers show up and no shared ones, no one has added you to their whitelist yet.
Q: The job fails with "download_url is empty".
A: printhub-host cannot find the agent's uploaded token. Delete the printer in Settings → Printers, re-issue a token, and re-deploy the agent.
Q: Color or duplex options are unavailable.
A: The printer does not advertise that capability over IPP. A typical home monochrome laser printer not exposing color attributes is normal.
